Position Purpose

Overall duty of this position is to provide day-to-day administrative and project support for both internal and external clients within the Non-Destructive Testing operations. The Administrative Assistant assists with a variety of standard office procedures including processing invoices, timekeeping and data entry.

Duties and Responsibilities

  • Prepares and organizes client files.
  • Collects weekly timesheets and prepares weekly data entry for Payroll purposes. Prepares and processes weekly invoice drafts.
  • Requests safety training for Technicians. Prepares purchase order requests.
  • Organizes customer billing reports.
  • Collects and audits weekly expense reports.
  • Coordinates travel and accommodation bookings for Technicians Updates resumes and certification pages for Technicians.
  • Updates and maintains various documentation.
  • Coordinates all mail including arranging couriers when required.
  • Maintains office supply inventory and orders supplies in a cost-effective manner. Assists with the distribution of company supplies to project sites and Technicians. Provides back up support for the Operations team.
  • Adheres to organizational policies and procedures, including but not limited to Applus Code of Ethics and Confidentiality Agreements.
  • Other duties may be assigned as deemed necessary.

Education and Work Experience

  • Post-secondary education in Office Administration from an accredited College. 2-3 years’ experience in office administration.
  • Equivalent experience combined with other formal training and accreditations may be accepted.

Working Conditions

  • The physical environment requires the employee to work inside an office environment, protected from weather conditions but not necessarily from temperature changes.
  • The work is primarily sedentary.
  • The noise level in the work environment is usually quiet to moderate. Work outside of normal business hours will be occasionally required. Occasional to frequent travel will be required within Canada.
