Position Purpose

Reporting to the Regional Manager, Nuclear Services, the Office Manager is responsible for overseeing the day-to-day administrative activities of the Nuclear Services department. Working as a cohesive unit with the central management team and human resources, the Temporary Office Manager will support Nuclear Services in achieving revenue targets, assist in business development initiatives, coach and support management on key HR functions and help drive the company’s human capital initiatives to develop a superior technical workforce.

 

The Temporary Office Manager identifies the needs of the department, deals with issues proactively and provides solutions while ensuring superior customer service and professional representation at all times.

 

Due to the nature of this position there will be some on-call and overtime requirements as well as occasional travel.

 

This is a temporary position for maternity leave coverage (12-18 months).

Duties and Responsibilities

  • Oversees the day-to-day administrative operations within the Nuclear Services department to ensure excellent internal customer service to operations and other support teams.
  • Plans, organizes, directs and coordinates operational activities to meet all client deliverables and ensure operational excellence.
  • Lead, coach and mentor direct reports to support high performance, employee development and succession planning.
  • Assists with the NDT project management for the department.
  • Develops and actively maintains relationships with key industry contacts, including current and potential clients, respected industry experts, and current and potential employees.
  • Assists in the coordination of all business development activities in Nuclear Services to maximize revenue and profit opportunity, while maintaining high levels of customer satisfaction, company reputation, employee satisfaction, and compliance with regulatory requirements.
  • Contributes required information and details for tender submissions when required.
  • In collaboration with the Workforce Development and Recruiting Specialist, supports the development of technical workforce planning initiatives to attract, retain, develop, and engage talent within the organization.
  • Assists the central region with manpower requirements and the development of recruitment strategies to acquire superior talent throughout the organization.
  • Executes full cycle recruitment including requesting and collecting appropriate approvals in alignment with corporate governance.
  • Educates managers on labour relations and provides interpretation of the Collective Agreement.
  • Primary liaison with the representatives of the Quality Control Council of Canada for the central region.
  • Assists managers on labour relations and employee relations issues.
  • In collaboration with HR Manager, evaluates HR processes and procedures for best practices and recommending improvements as needed.
  • Assists management in the interpretation and application of human resources policy, practices and guidelines.
  • Prepares corporate contracts for personnel and subcontractors.
  • Ensures personnel records and statistics are maintained and updated in accordance with corporate governance.
  • Assists in maintaining effective communications between business development, support services, and operations teams.
  • Represents the Nuclear Services department and Applus with outside groups, regulatory bodies, associations, and clients.
  • Adhere to organizational policies and procedures, including but not limited to Applus Code of Ethics and Confidentiality Agreements.
  • Cross-training with other members of the team for vacation coverage.
  • Onboarding duties, including but not limited to all hiring and rehiring activities, booking flights for field staff, and recruitment.
  • Other duties may be assigned as deemed necessary.

Knowledge and Skills

Education and Work Experience

  • Bachelor’s Degree in HR, Business Administration, or a related field is strongly recommended.
  • Minimum of 5 years’ supervisory experience is required.
  • 5-8 years’ experience in HR is preferred.
  • Experience in an oil and gas service organization with a unionized workforce is strongly recommended.
  • Strong industry knowledge of NDE is an asset.
  • Equivalent industry experience combined with other formal training and accreditations may be accepted.

Working Conditions

  • The physical environment requires the employee to work inside an office environment, protected from weather conditions but not necessarily from temperature changes.
  • The work is primarily sedentary.
  • The noise level in the work environment is usually quiet to moderate.
  • Work outside of normal business hours will be occasionally required.
  • Overtime required during the week and weekend with work volume.
  • Ability to be flexible with work schedules and respond to requests without advance warning
